Privacy Policy

This Privacy Policy explains how Transcribe (“we”, “us”) processes personal data when you use our transcription service. We act as the data controller for the processing described here. We aim to collect as little data as possible: there is no account, and we do not ask for your name or email to use the service.
What we process
- The media you submit. The audio or video file you upload, or the public URL or YouTube link you provide.
- The output we generate. The transcript and the AI summary produced from your media.
- Job metadata. Technical information needed to run the job, such as a random job identifier, processing status, timestamps, file name, media duration, and a thumbnail where available.
- Correspondence. If you email us, we process the contents of your message and your email address to respond.
We do not use advertising or tracking cookies, and we do not sell your personal data.
Why we process it (legal bases)
Under the EU General Data Protection Regulation (GDPR), we rely on the following legal bases:
- Performance of a service you request (Art. 6(1)(b)) — to transcribe and summarise the media you submit and make the result available to you.
- Your consent (Art. 6(1)(a)) — which you give via the checkbox when you submit a job. You can withdraw consent at any time by contacting us.
- Legitimate interests (Art. 6(1)(f)) — to keep the service secure and operational.
Please do not submit special-category data (for example, health or biometric information) or other people's personal data unless you have a lawful basis to do so.
Retention
Uploaded media and the resulting transcripts and summaries are automatically deleted 24 hours after processing. After deletion, a share link will no longer resolve. Limited, non-content job metadata may be retained briefly for security and abuse prevention. Email correspondence is kept only as long as needed to handle your request.
Sub-processors
We use the following service providers to operate Transcribe. They process data on our behalf under data-processing agreements:
- Vercel — application hosting and temporary storage of your uploaded media files.
- Supabase — database storage of job metadata, transcripts, and summaries.
- Anthropic — generates the AI summary from your transcript. Your transcript text is sent to Anthropic for this purpose.
International transfers
Some sub-processors may process data outside the European Economic Area, including in the United States. Where that happens, transfers are protected by appropriate safeguards such as the European Commission's Standard Contractual Clauses.
Sharing via links
Each job has a unique, hard-to-guess link. Anyone who has that link can view the job's transcript and summary until it is deleted. The link is the only access control, so only share it with people you trust and avoid submitting confidential content you would not want a link-holder to see.
Your rights
Subject to the conditions in the GDPR, you have the right to access, rectify, erase, restrict, or object to the processing of your personal data, and the right to data portability. To exercise these rights, email us at support@video-transcription.com — for a specific job, include its share link. Because most data is deleted within 24 hours, requests are easiest to action while the job is still live. You also have the right to lodge a complaint with your local data-protection supervisory authority.
